Event Production Services


Speakers

Speaker identification - finding and inviting suitable speakers for the occasion, and vetting to ensure they will speak to the topic and any potential risks are evaluated and minimised prior to the event.

Speaker development - helping speakers find their voices, booking practice opportunities, specialist narrative & presentation support.

Speaker wrangling - looking after speakers on the day of their talks, and through their engagement.

Curation - scheduling speakers, and other content, in order to create the best narrative flow, diversity and balance.


Media management

Media Production - the production of media during and after the event, from recording sessions to interviews with speakers, participants and delegates, collation of external media and clipping, etc.

Quality Assurance - checking all media produced for quality and accuracy before publication.

Publication - preparation and publication of media across appropriate platforms, including all meta data, cross-linking, sponsor messaging, post-publication promotion, etc.

Archiving - maintenance of an archive of event media for use in subsequent years, or for other purposes.


Volunteers & staffing

Welcome & Registration - ensuring this process is appropriate to the event, efficient and well organised, and sets delegates up for a good experience at the event.

Communication - implementing an effective on-the-day communications process to ensure that all staff, volunteers, speakers and delegates have access to the information they need and lines of communication are clear and open.

Volunteers - recruitment and briefing of volunteers, including their ‘uniforms’ to aid visibility.

Hosting & Compering - providing the on-stage hosting for the event. Interviewing speakers and other participants if required.


Sessions

Workshops - booking and planning workshop sessions and other kinds of content as part of a larger event.

Technology Demonstrations - planning, enabling and rehearsing live technology demonstrations. Exploring opportunities to combine technical event content in new and interesting ways.

Expositions - facilitating opportunities for participants to display product and company information throughout the event.


Promotion & fund raising

Online Presence - the production of the event’s online presence across web and social media to create the best possible information experience for speakers, delegates, participants, press and sponsors, including ticketing.

Press Management - ensuring appropriate press (both official and blogger/influencer) are invited and properly briefed. Manage access for press delegates on the day. Provide additional information and media about the event and content when required, both prior to and after the event.

Fund Raising - raising funds through sponsorship offers and agreements and additional public and philanthropic sources.

Sponsor Management - ensuring sponsor agreements are met, sponsors are well catered for and receive a positive experience of the event, both at the time and in terms of their promotional objectives.

Amplification - use of social media listening and marketing to boost the noise around the event, prior, during and post-event.

Event Programme - production of physical event programme, flyers and other printed media.



Logistics

Venues - booking and liaising with venues, assessing their capabilities and services and negotiating costs.

Catering - organising food & refreshments, either through the venue’s exclusive caterers or via outside providers, ensuring provision is inclusive, dietary requirements are met, and participants are kept well-refreshed and receptive.

AV - ensuring the audio-visual requirements of the event are met, including hiring an external AV team and additional equipment, screens, projectors, stage lighting, mics, repeater monitors, live streaming gear, etc. if necessary.

Travel and Accommodation - booking travel and acco for speakers and other participants, including negotiating deals with local hotels, etc.

Accessibility - ensuring the event is accessible and able to cater for the broadest range of needs possible.

Special Requirements - organisation of any specific requirements, for instance to enable live technology demonstrations.

Goody Bags - organising promotional materials for delegates that are sustainably produced and either consumable or ethically disposable.
